Payment details

Save for group bookings, full payment should be made at the time of booking

Payments can be made by credit or debit card or by cheque, made payable to “Surfers-World Limited”. We process your payment only once availability of your activity and/or accommodation is confirmed. Please note that we charge a surcharge of 2% for payments made by credit card (2.95% for Amex).

In the event that we organise activities and accommodation for you as part of a tailor-made package, we ensure your money is safe by depositing it in a trust account until completion of your package pursuant to the Package Travel, Package Holidays and Package Tours Regulations 1992. This trust account is held at Natwest Bank plc.

Group bookings

When the total cost of a group booking exceeds £500, with the prior agreement of surfers-world, a deposit of 50% of the total price of the activity (calculated to the nearest pound) is payable at the time of booking. Final balances are due 6 weeks before the activity date. If the balance is not received in accordance with the above, we reserve the right to treat the booking as cancelled and retain the deposit paid. Where such group bookings are made within 6 weeks of the activity date, the full amount should be sent paid at the time of booking. For discounted company/school/large goup bookings VAT will be added to the unit price.

We accept group bookings on the understanding that the person making the booking is authorised to do so and accepts these Booking Conditions on behalf of all the members of the group. When acting as the booking agent for an accommodation/activity provider there are occasions where the price charged may be slightly more than if your group went directly to the provider. When the deposit is paid an understanding is made that you accept all of these booking terms and conditions. Once the payment is made there can be no queries on price, or refunds given.

Availability

All activities are offered subject to availability. Ideally, you should make bookings at least 2 weeks in advance and longer in advance for peak season. Bookings should not be considered confirmed until you receive confirmation in writing or by e-mail from us.

Minimum numbers

Some of our courses may need a minimum number of clients to attend and these are identified on our website or by our sales staff, together with an appropriate deadline. If any such minimum is not reached by that deadline, we reserve the right to cancel the activity and will give a full refund.

Age and health restrictions

Course members must be at least 8 years old and where bookings include persons less than 18 years old, a responsible adult acting in loco parentis must accompany that person at all times and, if not surfing, must remain on the beach throughout the lesson.

Surfing is a strenuous activity that requires those taking part to have a reasonable standard of swimming and fitness. All course members must be able to swim at least 50 metres. When booking, we ask that you declare any medical conditions relating to the people covered by your booking. We cannot accept any responsibility for any condition not disclosed. No one should participate in any surfing lesson if they suffer from a heart condition or if they are pregnant.

Arrival time

If you have problems on the day, e.g. running late, illness etc., please call our office. We reserve the right to cancel the activity if we think you are significantly late (half an hour or more usually being significant) and no refund may be offered.

Weather etc

Most activities take place regardless of weather conditions. In the unlikely event we think the weather or other relevant conditions are totally unsuitable for surfing, we shall make every effort to suggest alternative dates or issue a credit voucher for the amount you paid for your cancelled activity. Credit vouchers and Surf vouchers can be redeemed at any time within one year from issue, surf vouchers may only be redeemed for surf lessons. If a Coasteering session must be cancelled in the case of sea related conditions we will offer vouchers for an alternative date, or run a surf session in its place. If a surf session must be cancelled due to sea related conditions there can be a coasteering session offered in its place – or vouchers valid for one year issued.

Complaints

Any complaints must be notified to the surf school on the day so that attempts can be made to resolve any problems there and then. Any other complaints should be addressed to Surfers-World who will then take up the problem with the surf school.

Cancellation and alterations

We reserve the right to reschedule the timings or location of any activity or to make minor changes and will contact you with full details of any such alteration. In the event that we have to cancel your activity, due to the unavailability of the activity provider, insufficient numbers or any other factors beyond our/your control (weather/sea conditions excluded), you are welcome to choose an alternative activity of the same value (or make up the difference) or we will refund all monies.

We will make every effort to arrange any changes you request after your booking has been confirmed. Any changes are subject to availability and an administration fee of £10 per change will be charged.

We cannot accept the cancellation of a booking by you unless we receive written notice from the person who signed or e-mailed the Booking Form. To cover our expenses, the following cancellation charges apply:

• More than 6 weeks in advance………£10 pp admin fee
• 6 weeks to 4 weeks in advance…… 25% of total price
• 4 weeks to 2 weeks…..……………… 50% of total price
• less than 2 weeks…………………… full price

Please note that where your booking includes accommodation, different cancellation charges may cover the accommodation element of your package. You will be advised of these and any other terms and conditions at the time of booking.

Our responsibilities

The activities we offer are provided by independent instructors who we assess very carefully. We cannot accept responsibility unless you or any member of your party suffer as a result of any proven failure to perform, or improper performance of, any part of our contract with you by any of our employees, agents or sub-contractors (providing they were carrying out work authorised by us). We cannot accept any responsibility where any injury, damage or loss resulted from:

• any act or omission or the person or persons affected
• any act or omission of a third party not connected with your activity and which were not foreseen or unavoidable
• an event which neither Surfers-World nor the activity provider could have foreseen or avoided even with all due care.

Except for claims for personal injury or death, we limit the maximum amount we may have to pay you to the price paid in respect of each person affected.

Your responsibilities

Surfers World takes safety very seriously and has very high standards of both quality and safety. However surfing activities, by their very nature, do contain some element of risk and it is a condition of booking that our clients understand this. For all our outdoor activities, we recommend that clients take out their own personal accident insurance cover.

In the interests of safety, you undertake to follow the advice of your activity provider and act sensibly and prudently at all times. Instructors reserve the right not to complete a lesson with clients who may be deemed to be under the influence of alcohol or drugs or otherwise unfit to participate in the activity.

When you book with us, you accept responsibility for your own property and any equipment issued as part of a lesson or for hiring. You also accept responsibility for any damage or loss caused by you or any member of your party and indemnify us against any claims (including legal costs) subsequently made against us as a result of your actions.

Overseas trips

For our overseas skiing and surfing trips, the following conditions apply in addition to the terms and conditions stated above. For skiing and snowboarding bookings, interpret “surfing” accordingly.

Our overseas trips are organised through our subsidiary company, Surfers-World Limited. Any payments made by cheque should be made payable to “Surfers-World Limited”.

A deposit of 50% of the total cost of your trip or £500 (whichever is the lesser) is payable at the time of booking. The balance is due no later than 6 weeks prior to your departure date.

Please note that we do not offer credit vouchers for cancelled activities due to adverse weather conditions on our overseas trips.

A full passport will be necessary and holders of full UK passports will not require a visa for travelling to France or Spain. You are responsible for checking you have all necessary visas for travelling (please note particular requirements for USA trips). We accept no liability for persons failing to take up their holiday due to failure to obtain or produce the correct travel documents. Similarly, you are responsible for checking and obtaining all recommended or necessary vaccinations and other medical checks prior to travel.

It is a condition of your booking that you and each member of your group has adequate travel insurance to cover your trip and the particular activities we are organising for you (e.g. surfing or snow sports). You should provide us with details of your insurance as soon as possible after booking. You will also be asked to sign a disclaimer prior to your trip. You acknowledge that Surfers-World and its employees are not employed as guides or instructors and any advice offered is in good faith and not in a professional capacity.

Your holiday booking may include the cost of flights to your destination but please note that we are not able to book your flights. However, we can arrange for your booking to be made through an ABTA/ATOL registered travel agent on your behalf. Flight bookings will be subject to their terms and conditions. If you wish to make your own flight arrangements, please liaise with our office to discuss transfer times and cost implications.

We cannot be held responsible for the loss of enjoyment or any additional expense incurred due to any arrangement by a travel agent or other circumstances amounting to force majeure such as industrial dispute, adverse weather conditions, war or riot.

The following cancellation charges apply to our overseas trips:

• 12 – 6 weeks in advance… ……20% of total price plus £10 pp
• 6 weeks to 4 weeks in advance…… 50% of total price plus £10 pp
• Less than 4 weeks in advance….… full price
